Define what you need to find later
Start with the reason recordings are kept. An operator reviewing recent activity may have a different need from a team reconstructing an incident discovered later. Write down the expected review delay and the information needed to locate an event. Ask how the proposed system supports that workflow. Keep retention choices aligned with your organization’s requirements rather than selecting the largest number offered in a proposal.
Ask for the assumptions behind a duration estimate
Recording duration depends on the configured recording workload, including camera streams and settings. The Mini product sheet lists up to 2 TB onboard storage; it does not convert that capacity into a fixed number of days. The Pro sheet lists reporting functions without specifying a storage capacity. Request a configuration-specific retention explanation and distinguish available capacity from what is included in the selected package. [1]
Test retrieval and export, not just recording
A system can contain footage that a user struggles to find. During handover, ask the responsible person to locate a representative event by time and location, review it and prepare an authorized export. Confirm which users can perform those actions and where any exported record goes. Make sure the process is understandable to the people who will use it after the installation team has left.
Plan for important events and service transitions
Decide who preserves relevant footage before normal retention removes it. Record the event reference and the person responsible for follow-up. Also ask what happens to access and retained material when equipment is relocated, a subscription ends or a project changes hands. These questions belong in the operating plan because discovering the answer after a record is needed may be too late.
Your planning checklist
- Define the expected delay before an event is reviewed.
- Request retention assumptions for the quoted configuration.
- Test search, playback and authorized export.
- Assign responsibility for preserving important events.
- Clarify record access at project or service completion.
Find the right Xnergy configuration
The Mini’s stated maximum storage is a capacity specification, not a retention promise. Confirm actual storage and recording settings for either platform during assessment.
